If there’s more than one contact listed on the Quote or Work Order, try all contacts first. People are often unavailable due to work or being on site themselves. If you still can’t get through, send a text message—it’s often the quickest way to get a response. If all else fails, email us as soon as possible with a few suitable times and we’ll follow it up with the client on your behalf.

If you’re providing a quote:
Make sure you fully price what has been requested as separate line items. You’re welcome to include pricing for any additional works you believe may be required—just keep them clearly listed and optional.
If you’re working on a Work Order:
Any extra work must be approved in writing first.

IMPORTANT: Do not carry out additional work unless approval has been confirmed. If it’s not approved, we can’t guarantee payment. In some cases, other trades may already be booked or there may be factors you’re not aware of. Only complete the work listed in the Work Order and stay within the approved spend limits.

All Work Orders have a spend limit.
Check your approval email first. If you’ve already quoted the job and have written approval, that approved amount is usually your spend limit. For direct Work Orders, the spend limit is normally listed in the Work Order details.

IMPORTANT: If no limit is shown, the maximum spend is $500. This protects both you and the client and avoids payment hassles later. If you hit something unexpected on site, you may be able to get on-the-spot approval by emailing us with a quick photo and a short explanation of why the extra work is needed.

No—you don’t have to attend site if you’re comfortable quoting from photos or already know the scope of works. You do you.

Just keep in mind that sorting out variations on site can be harder and, in some cases, may look less professional.
Clear, accurate quotes up front generally improve your chances of approval and repeat work.

We submit your quote to the client for review. Some clients may request multiple quotes and compare providers. We’ll notify you of approval, or if any changes are required.

If anything looks unclear or you spot a problem (access, materials, safety, photos, or scope), contact us early. We’ll clarify with the client so you’re quoting and working to the correct requirements.

Once works are approved and completed, invoice through the agreed workflow. Payments are made as per the client’s terms. Keep your completion notes/photos where required to avoid delays.

PropertyTeams may apply a small administration fee on approved works. This fee is payable by the client only (NOT YOU).

We recommend quoting within your normal service area. Clients often compare multiple quotes, so distance/travel can reduce competitiveness. If travel is required, include it clearly in your pricing.
